How to order

Terms and Conditions:

Minimum order: Many products are offered in 1-gallon sizes, please refer to the price list for a detailed list.

Terms: The first order needs to be COD ($12 internal fee plus UPS’ fee), or credit card. Net-30 is for businesses that have been in business more than a year with good credit. If you qualify, ask for a credit sheet. For a first order shipped COD, only a money order or certified check will be accepted. After that, company check is fine.  CODs that are over $500 require a credit card backup. We accept Visa, MasterCard, and American Express for payments and deposits. Custom and drum size orders require a deposit prior to production time quote.

Price Quotes: Due to the volatile nature of natural ingredients and essential oils, which is in effect a commodities market, price commitment by RainShadow Labs is made on placement of order only.  Price quotes in this catalog are representative of the cost of an item as it currently stands at the time of printing.  Always confirm pricing at the time of order because prices are subject to change.

Back Orders: Occasionally we run low on precious ingredients and need to search or wait for more. We give your backorders the utmost attention until we can get them out to you.

Returns: No returns are accepted when the proper formula/item has been shipped.  Products are returnable in the event of a shipping error, defect, or damage. RainShadow Labs must be contacted within 10 days of the receipt of order.

NSF Checks:  Subject to a $30 fee per bank rejection.
Credit Card Denials: Subject to a $5 fee.

Late Fees:  For our Net 30 accounts, there will be a late fee of 18% per annum charged on all late payments.

Insurance Issues: At RainShadow Labs we stand behind the quality of our products.  Our insurance covers all products that are manufactured by our company with our approved “in-house” ingredients only when we provide all of the ingredients, package the product, label the product, and send the product for distribution.  If we will be doing this for you, you can inquire about being named on our insurance for product liability only.  The customer should also carry his or her own business insurance.  If you choose to add to/alter the product at your site or to self package, it is recommended that you get your own liability insurance because our company insurance will not allow us to insure product that is not fully in our control at all levels of preparation.

Samples: When you are ordering a product for the first time, make sure that you have sent for a sample first.  Custom-made products (even unscented stock items) are non-returnable.

 Shipping Information:

Shipping: On “stock” items, under 1 drum, it usually takes 7 to 10 working days from the time we receive your order until it ships from our docks. Allow time for travel. For large custom orders, allow 4 to 8 weeks until ready to ship.  We ship FOB from St. Helens, Oregon, best way, or by your instruction.  Custom orders will be confirmed with a contract and deposit prior to time quote. Please make sure your shipping information is correct.  A $5 charge will be made on all shipments that require address corrections called in after the product has shipped. There is also a $5 charge for all US Mail shipments.

Damaged Shipments:  Please do not sign for the shipment until you have checked for external damage.  If the damage is bad, refuse the shipment.  If you did not notice it at first, save all packaging and containers for damage inspection. Call us immediately, and we will help you with your damage claim with the carrier.  You must report all damage within 10 days of receipt.

 

**When you order larger quantities for a discount they are packaged in larger sizes, and this will need to be accommodated at your site. One-gallon sizes are shipped in 1 gallon buckets/jugs.  If the item is shipped in a gallon jug did you remember to order a pump? These pumps are reusable but you must use them in same type products (do not put a pump used for lotions into gels, etc.). If you want to order larger volumes, but want it packaged in smaller increments, you will be charged the smaller increment pricing.

 

If the product you order comes in a bucket, you will need to aggressively break the seal to open.  The seals are put on to prevent leaking in transport. If you ordered 5 gallons sizes, you may again need a “key” and a small drum pump (different from the gallon pump, also reusable).  When you order 5 gallons or more of product for a discount, those items will come to you in one of the following appropriate containers for the size you have ordered:

- 5 gallon pail               -large boxes for dry goods        -55 gallon drums

Drum charges are charged for products that must ship in 55 gallon drums.  Fiber and plastic drums do have a charge with an applicable refund upon return. All components must be returned in good condition or no refund will be given.

 

About Shipping Rates:

Our shipping rates are based on the rates being quoted to us by the freight company.  Here are some tips about how items are shipped and some hints we have learned from our customers and the freight companies on how to get the best freight rates:

 

Unless otherwise instructed by you prior to shipping this is how we will ship your order

  • Small orders: If your order is less than 250 lbs, we will use UPS Ground

  • Mid-size orders: Orders between 250-499 lbs are best shipped by FedEx Freight Ground

  • Larger orders: If your order is 500+ lbs., we will ship by truck (usually 50%-70% discount on truck rates).  If your order is going by truck and you will need a lift gate to lower the products to your dock, please specify this at the time of your order and we will let the trucking company know.  The trucking company usually charges a fee for this and delivery can take a few extra days, but it can be done.

 

Please note: if you are in Hawaii, Alaska, or out of the country, you will need to specify how you want your order shipped. UPS is usually more expensive to these areas, and US mail is sometimes preferred.  We will insure your order if sent by US mail. There is a $5 fee for shipments going US Mail.

We can “estimate” the weight of your order and let you do some checking around for your best freight rates.  Then let us know, and we will follow your shipping instructions.

When shipping by truck, if you can get better rates and discounts, let us know and we will ship freight collect on your carrier. If you are close and wish to pick up at our docks, this can be arranged at the time of order and we will give you a call when your will-call order is ready for pick-up.
